Objectives of this Role

 

The Executive Administrative Assistant provides high-level support to the Chief Financial Officer (“CFO”) and Chief Operating Officer (“COO”) of a growing community bank. This role requires exceptional communication and organizational skills, discretion, and the ability to manage multiple priorities in a fast-paced, confidential environment. The position also offers limited but critical support to the Audit & Risk Management Director and Audit Committee and serves as a backup to the Senior Executive Assistant to the Chief Executive Officer (“CEO”), ensuring continuity and coverage across the executive leadership team.

Essential Functions:

 

Executive Support (CFO & COO)

  • Proactively manage and coordinate complex calendars, schedule meetings, events, and prioritize appointments.
  • Anticipate scheduling conflicts and provide thoughtful recommendations for resolutions.
  • Prepare and edit correspondence, presentations, reports, and other documents.
  • Facilitate internal and external communications on behalf of the CFO and COO.
  • Organize and support executive meetings, including agenda preparation, minutes, and follow-up actions.
  • Maintain confidentiality of sensitive financial and strategic information.
  • Coordinate travel arrangements.
  • Track and manage CFO and COO expense processing and legal fees.
  • Support the Accounting and Finance team as needed.
  • Support the Operations, IT and Enterprise Analytics teams as needed.

 

Audit & Risk Management Support

  • Assist the Audit & Risk Management Director with Audit Committee scheduling, document preparation, and meeting logistics.
  • Assist in coordinating Audit Committee meetings, including documentation, attendance, and minutes.
  • Track and follow up on action items from audit and risk-related meetings.
  • Ensure compliance with internal governance protocols and regulatory requirements related to audit documentation.
  • Coordinate Semi Annual Risk Assessment meetings and prepare pre-meeting documents.
  • Assist with annual loan confirmation mailings.
  • Support special projects and initiatives as required.

 

Board Support

  • Assist with Reg O. Onboarding / Offboarding and annual Reg O. review.
  • Board Compensation Study.
  • Policy approval administration.

Project & Communication Management

  • Serve as a liaison between executives, internal teams, and external partners, ensuring seamless communication and follow-up.
  • Research and respond to moderately complex inquiries and requests with professionalism.
  • Organize and manage small to mid-sized projects, ensuring timely execution and follow-through.
  • Send timely reminders and follow-ups for project updates and deadlines.

 

Backup Support to Senior Executive Assistant to the CEO

  • Provide coverage during absences or peak workload periods.
  • Assist with meeting coordination and communications as needed.
  • Backup DirectorsLink administrator.
  • Support board-related activities, including preparation of materials and logistics for board meetings.
  • Maintain continuity of executive office operations and uphold standards of professionalism and confidentiality.

 

Cross Functional Coordination

  • Liaise with internal departments, external partners, and board members to support executive initiatives.
  • Support special projects and strategic initiatives led by the CFO, COO.

Skills and Qualifications

  • 3–5 years of experience in an executive administrative role, supporting multiple leaders.
  • Bachelor’s degree in business, finance, or a related field preferred.
  • Proficiency in Microsoft Office Suite (Outlook, Excel, Word, PowerPoint, Teams, SharePoint, and OneNote)
  • Exceptional written and verbal communication skills, with the ability to craft professional correspondence and executive reports.
  • Strong organizational skills with impeccable attention to detail and accuracy.
  • Ability to manage multiple priorities and adapt to shifting deadlines in a fast-paced environment.
  • Self-motivated and capable of working independently while maintaining strong team collaboration.
  • Experience handling confidential information with discretion and professionalism.
  • Familiarity with social media platforms and content posting best practices.

  • Hybrid/remote-friendly role, with flexibility to support executive needs.
  • Must have reliable transportation for attending off-site meetings and events as needed.
  • Occasional evening work required for community and leadership events.
  • Ability to sit, stand, and walk for extended periods when needed.
